Persons Insured by this Policy: 


The policy provides cover for the following categories regardless of the source of funding provided appropriate authorisation has been given:

Category A: Employees, Officers, and accompanying Spouses/Partners and Dependent Children and any other person travelling on University business (provided travelling on the same itinerary)

Category B: Members of the Governing Body of the University and accompanying Spouses/Partners and Dependent Children (provided travelling on the same itinerary)

Category C: All Honorary employees including visiting lecturers, including accompanying Spouses/Partners and Dependent Children (provided travelling on the same itinerary)

Category D: Voluntary workers

Category E: Students, accompanying Spouses/Partners and Dependent Children (provided travelling on same itinerary)

PLEASE NOTE: Any travellers over the age of 80 should contact our office in advance in order to arrange suitable insurance

If you require additional insurance for your personal travel portion or wish to purchase this insurance for your own private travel please click here (see vacation information listed below).

IMPORTANT:  This insurance HAS to be purchsaed BEFORE you leave Australia.  Additional travel insurance can not be purchased from any company in Australia once you have departed.  The only exception to this is if your total travel time is more than 1 year.  If this is the case, contact this office for more information.

Note: In all cases you are required to reduce (buy down) by payment of an additional fee to the hirer to reduce the excess to the lowest possible amount.  This means, when you are hiring your vehicle, you must take the lowest deductible that is available - ie purchase a lower excess.
 

Vacation Time During a University Business Journey:

Employees and students are permitted an additional 15% travel beyond their UWA study related travel to a maximum of 4 weeks additional travel.   

NOTE:  THIS DOES NOT MEAN YOU AUTOMATICALLY HAVE 4 WEEKS ADDITIONAL COVER.  ie 40 days University related travel x 15% bonus = 6 days.  You get 6 days bonus - if you are planning holiday/private travel beyond this time, you will need to purchase additional cover.

Excesses/Deductibles:

The policy is subject to a $250 excess on each and every claim.  Electronic equipment incurs a $300 excess.

Notification: 

  • You are required to complete a UWA Travel Approval Form and submit it to your Head of School/Section, prior to departure.  These are available from your School manager or from the link above.  This form is to be completed for all interstate and international travel.
  • You ARE required to notify this office if you are travelling for a period longer than 12 months, travelling to a country that is subject to DFAT warning,  (SPECIAL CONDITIONS APPLY FOR SOME COUNTRIES) over the age of 80 years, or if you are carrying out anything that could be construed as dangerous.
  • If you are subject to a mugging, theft, loss of personal belongings or money etc, you MUST report the incident to local police or officials as soon as possible, and obtain an incident number and report/receipt.
  • Any other documentation that you can obtain may also be useful, such as witnesses, hotel incident report, receipts etc.
  • If luggage is lost at the airport or by the airline, you must first claim compensation from the airport or airline before our insurers will pay any compensation. The loss must be reported to the airline before you leave the airport.  Copies of all correspondence must be submitted with the claim.

Special Conditions:

If you are taking a:

  • laptop computer,
  • mobile phone or
  • professional camera,

these items are required to be taken on board the aircraft AS HAND LUGGAGE and not placed in the hold. These items must be kept in a protective casing and well secured against damage while stored as hand luggage. These items are also required to be stored in a secure place in the hotel eg the hotel safe.

Department of Foreign Affairs and Trade:

It is a requirment that before travel is commenced, reference be made to the Department of Foreign Affairs and Trade "Smart Traveller" website.

Overseas Emergency Medical Assistance:

For Emergency Medical or Evacuation ONLY
International SOS can be contacted 24 hours a day by contacting the local telephone operator and requesting a reverse charges call to International SOS on: 61 2 9251 4298. Please mention the University of Western Australia's Policy No: 2600100318.

Making a Claim:


If you are claiming for the cancellation of a ticket, you must first claim as much as possible from the travel agents and/or credit card provider before claiming any outstanding balance from the University insurers."

Full details of the reason for cancellation must be given, for example a doctors note stating that you are unfit to travel.   Download a claim form, complete and return it to the Insurance, UWA, with all receipts, quotes, a copy of the corporate travel authorisation form and relevant documentation.

Once your claim has been submitted to Insurance (M451)

  • Your claim will be submitted to the insurers who have 14 days to assess your claim.  They will request any further information they require during this period
  • If your claim is accepted, a cheque will be issued to UWA.  The cheque will be banked and a cheque drawn in your name.  This cheque will be forwarded to you as soon as possible.
  • Please be aware that all claims are subject to an excess
